Privacy Policy

Poetry and Flowers Studio (“we”, “us”) makes custom wedding invite videos. This policy explains how we handle your personal data when you use poetryandflowersstudio.site, message us on WhatsApp, book a call, or order from us. We follow India’s Digital Personal Data Protection Act, 2023 and the rules made under it.

What we collect

• Contact details: your name, your partner’s name, your WhatsApp number and, if you share it, your email address.
• Wedding details: your wedding date, city, venues, function timings and the invite text you give us.
• Your story and photos: what you tell us on the story call and in messages, and the 8–15 photos you share for your film.
• Messages: the WhatsApp conversation you have with us, including with our WhatsApp assistant.
• Payment records: what you paid and when. Razorpay handles your card, UPI or bank details — we never see or store them.
• For the WhatsApp Guest Concierge: your guests’ names, phone numbers and RSVP responses.
• Website data: your cookie choice, and — only if you allow cookies — analytics and advertising data (see our Cookie Policy). To stop spam on our enquiry form we keep a scrambled (hashed) version of your IP address for up to an hour; we never store the IP address itself.

Why we use it

• To reply to your enquiry and talk to you about your invite.
• To book and hold your story call.
• To write, make, revise and deliver your film.
• To send payment links and keep payment records.
• To set up and run your guest concierge, if you choose it.
• To understand how our website is used and to measure our ads — only if you allow cookies.
• To meet our legal and tax obligations.

We don’t sell your data. We use your photos and story to make your invite, and we only feature a couple’s invite publicly — in our portfolio or ads — with their written permission.

Our legal basis: your consent

We process your personal data with your consent — which you give when you message us, book a call, send our enquiry form, or place an order — and, where the law allows, for legitimate uses such as keeping records we’re required to keep. You can withdraw your consent at any time (see below). Withdrawing doesn’t affect what we did before, but we may not be able to finish your invite without the data we need.

When you share photos or details of other people — including your guests for the concierge — please make sure they’re happy for you to do so.

Our WhatsApp assistant

Some of our WhatsApp replies come from an AI-powered assistant that answers common questions, shares samples, books calls and sends payment links. A person from our team can step in at any time — just ask to speak to a human.

Who processes your data for us

We use trusted service providers who handle data on our behalf and only for the purposes above:

• Supabase — stores enquiries and our customer conversations (our inbox)
• Cloudflare — hosts this website and runs the enquiry form
• Vercel — hosts our internal inbox app, used by our team
• Meta (WhatsApp Business / Cloud API) — carries our WhatsApp messages and calls
• n8n — runs the automations behind our WhatsApp assistant
• Google — email, our WhatsApp assistant's AI model, and — only if you allow cookies — Google Analytics
• Cal.com — books your story call
• Razorpay — processes payments through the links we send you
• Third-party AI generation tools (such as Higgsfield) — create the scenes in your film from your photos — see below for how they may use uploads

Some of these providers may store or process data outside India. We share only what each one needs, and we don’t transfer data to any country the Government of India has restricted.

AI generation tools and your photos

We create films using third-party AI generation tools, such as Higgsfield. Under those providers’ standard terms, content uploaded to them may be used to improve their AI models. We don’t train any models of our own on couples’ photos. We upload only what’s needed to make your film, and we delete your uploads from these tools after your order is complete, which stops any further use from then on. How long we keep it

• Photos, story details and project files: Your photos, story details and project files are deleted from our systems and from the AI tools we use within 30 days of final delivery, or sooner on request.
• Your finished film: We keep your finished film for 6 months so you can download it again, or delete it sooner on request.
• Guest concierge data: guest names, numbers and RSVPs are deleted after the wedding.
• Payment and order records: kept for as long as tax and accounting laws require.
• Enquiries that don’t become an order: deleted after 12 months, or sooner if you ask.

Your rights

Under the Digital Personal Data Protection Act, 2023, you can:

• ask what personal data we hold about you and how we use it;
• ask us to correct, complete or update it;
• ask us to erase it, where we no longer need it for the purpose you gave it for or a legal reason;
• withdraw your consent;
• raise a grievance with us, and if you’re not satisfied, with the Data Protection Board of India;
• nominate someone to exercise these rights for you if you die or become unable to.

Children

Our services are for couples planning their wedding. We don’t knowingly collect personal data from anyone under 18. If you think a child has shared data with us, please tell us and we’ll delete it.

Keeping your data safe

We use reputable providers, encrypted connections, and access limited to the people who need it to make your invite. No system is perfectly secure, but we take care, and we’ll tell you and the authorities as the law requires if a breach affects your data.

Changes to this policy

If we change this policy, we’ll update the date at the top. For significant changes, we’ll let current customers know on WhatsApp.
