Guest concierge
What a WhatsApp guest concierge does for your wedding guests

Ask any couple what the last few weeks before their wedding felt like, and somewhere in the answer you'll hear: "So many messages."
What time is the haldi? Where exactly is the venue? Is there parking? What's the dress code for the sangeet? Which hotel are we in? Did you get my RSVP? Each question is small. Together, they add up to hours — usually answered late at night, by the couple or a tired parent.
A WhatsApp guest concierge is designed to take that off your hands.
What it is
A WhatsApp guest concierge is a dedicated WhatsApp assistant set up with your wedding's details. Guests message it the way they'd message anyone, and it replies with the right information — any time of day.
Ours, the WhatsApp Guest Concierge, is available as an add-on to our Custom Wedding Invite Video. It is set up with your details and stays live until the end of your wedding day.
What it takes care of
The concierge answers questions about:
- Venues & directions
- Function timings
- Dress codes
- Travel & stay details
- RSVPs & reminders
In practice, that means a guest can ask "What time does the sangeet start, and is there parking?" and get a clear answer straight away, with a location pin. Another can ask what to wear to the wedding, or which hotel they're staying in, or confirm they'll be there for all three functions — and the concierge records the RSVP.
How it works
- You order your invite video, and add the concierge.
- You share your wedding details with us — functions, venues, timings, dress codes, travel and stay information.
- We set up your concierge with those details.
- Your guests message it on WhatsApp — available 24/7 once set up.
- It collects RSVPs and sends reminders as the day approaches.
- It stays live until the end of your wedding day.
If something changes — a function moves, a venue changes — tell us, so your guests always get the right information.
The questions guests actually ask
If you've ever helped plan a family wedding, these will sound familiar. They're exactly the kind of questions a concierge is set up to answer:
- "Which function is today, and what time should we reach?"
- "Can you send the location again? The link in the group isn't opening."
- "Is the mehendi at the same venue as the sangeet?"
- "What's the dress code for the reception — Indian or western?"
- "Which hotel are we staying in, and is there transport from the station?"
- "We're three people, not two — can you update our RSVP?"
- "Is there parking near the hall?"
None of these is difficult. But arriving one at a time, across dozens of chats, in the busiest weeks of your life, they're a lot. A concierge gives every guest the same clear answer, straight away — and leaves you free to answer the messages that really need you.
What we'll ask you for
To set up your concierge well, we'll ask you for the details your guests will need. It helps to gather them in one place:
- Each function — its name, date, start time and, if it matters, when guests should arrive.
- Each venue — the name, address and a location pin, plus parking or entry notes.
- Dress codes — for each function, if they differ.
- Travel — nearest stations or airports, and any transport you've arranged.
- Stay — hotels or guest houses you've booked for guests, and check-in notes.
- RSVPs — which functions you'd like guests to confirm, and by when.
- Reminders — anything guests should be reminded of as the day approaches.
You don't need everything on day one. Share what you have, and keep us posted as plans settle.
The details
- Guests: up to 500.

What happens to your guests' information
Your concierge naturally handles some personal information: guests' names, phone numbers and RSVP responses. We use these only to run your wedding's concierge, and they're deleted after the wedding. You can read more in our privacy policy.
Because your guests will be messaging a number you've shared, it's a good idea to mention the concierge in your invite — something like "Questions about the day? Message our wedding concierge on WhatsApp."
Who it's for
A concierge is most helpful when:
- Many guests are travelling and need hotel, transport and directions.
- There are several functions across different days or venues.
- Dress codes differ from one function to the next.
- You want RSVPs in one place, rather than scattered across chats.
- You'd simply like your evenings back in the weeks before the wedding.
For a small, single-venue wedding with a handful of guests, you may not need one — and that's perfectly fine.
What it isn't
It's worth being clear about what a concierge is not:
- It isn't a replacement for your personal invitations. Your invite video and your own messages carry the warmth; the concierge handles the logistics.
- It isn't a wedding planner. It shares the information you've given it; it doesn't book vendors or manage your budget.
- It only knows what it's told. Keep us posted on changes, and it'll keep your guests posted too.
Pairing it with your invite video
The concierge and the invite video work beautifully together. Your film makes guests want to come. The concierge makes it easy for them to arrive at the right place, at the right time, in the right outfit.
A simple way to introduce it: end your invite video with a line inviting guests to message the concierge, and pin the concierge's number in your family groups.
Planning your timeline
If you're adding a concierge, it helps to send your invite video 6–8 weeks before the wedding and share the concierge number with it, or shortly after. We've written a full timeline for sending your invite on WhatsApp.
